Collection Process PDF Print E-mail

Our experience has shown that the earlier you address past due accounts, the more likely you are to get paid. So we have designed our collection services around this fact. When you turn your accounts over to us early, we are able to collect faster, easier, and at a lower cost to you.

Once you have selected a Collection Plan and provided us with your past due accounts, we follow a three-phase process:

Phase I: Notification Letters

Phase I is the most efficient and least costly method to obtain payment, and we have a very high success rate. Our letters are professionally written and non-threatening. Sometimes, just getting a notice from someone other than you is enough to prompt your clients to pay. We handle all of the mailing and communication, and you are kept informed of real-time status via our online account access tool, which is accessible 24 hours a day. You have the option to have your clients pay you directly or send payments through us, and all payment records are recorded online to ensure we stay in sync.

Phase II: Phone Calls

If an account is not paid in Phase I, it moves into Phase II. Phase II, also called our investigative phase, involves actively calling your clients to discuss payment options. Methods such as skip tracing are used if necessary, and we have access to extensive databases that help us trace relocations and find the contact information needed to reach the debtor. As with all of our services, you have the choice of how we pursue your debt. We can be tactful, courteous, or we can be aggressive, whatever you decide we will always be professional when talking to your clients. Our goal is to educate your clients on payment methods and make them aware of the existence of past due obligations. Often, a quick conversation with us is all that is needed to straighten out a misunderstanding and get you paid.

Phase III: Attorney Escalation

If all else fails, we retain in-house attorneys in each of our offices. These attorneys work exclusively for ICS and for you. With your approval, we can initiate legal proceedings to collect on your accounts. Property liens, wage garnishments, and judgments are a few of the options available to you. We provide experienced attorneys and manage the legal process from start to finish - saving you a great deal of time and money. Phase III is very effective for large, high-value accounts that have a significant impact on your profitability.

Continuous Communication

Throughout the collection process, we provide you with secure, 24/7 online access to the real-time status of your accounts through our industry-leading EzCollect system. In addition to viewing our updates, you can add your own notes, comments, and status. This allows us to stay in constant communication with each other and ensures that we are both delivering the same message to your clients. In addition, the graphical reporting & analysis features of our proprietary toolset provide you with the ability to generate instant reports to measure and track results.

Technical support and customer service representatives are also available by phone - giving you everything you need to stay informed and be confident that your accounts are in good hands with ICS.
